Privacy Policy
Last updated: October 14, 2026
The short version
- We never sell your personal data and we don't use advertising or social media trackers.
- Analytics cookies and session recordings only run if you click Accept All. You can change your mind any time under Cookie settings in the footer.
- When you fill in a form, we use your details to send what you asked for and to talk with you about your podcast.
- You can ask us to see, correct or delete your data at team@pod.vision.
Who we are
PodVision LLC is responsible for your personal data (the "controller"). We are registered at 30 N Gould St Ste R, Sheridan, WY 82801, USA. Our team works from the European Union, so we apply the EU General Data Protection Regulation (GDPR) to everyone, wherever you are.
For anything about your data, email team@pod.vision. We are a small team and haven't appointed a Data Protection Officer, as the law doesn't require one for us. Your email goes straight to the founders.
What we collect, why, and for how long
When you visit the site
Our host, Cloudflare, processes your IP address, browser type and the pages you request so the site can load quickly and stay secure. Legal basis: our legitimate interest in running a working, secure website (Art. 6(1)(f) GDPR). Kept: briefly, in Cloudflare's server logs.
Anonymous visit counting
If you haven't accepted analytics cookies, we still count visits, but without cookies or any storage on your device. We use PostHog, with data stored in the EU (Frankfurt). We only record which pages are viewed, how far down they're scrolled, how fast they load, and whether someone sent a form or booked a call. We also record the browser and device type and the website you came from (just its name, not the full link). We remove anything after a "?" in page addresses. No clicks, no recordings, no profile of you. To tell visits apart, PostHog's server combines your IP address and browser details into a code that changes every day. It doesn't keep your IP address and can't recognise you on another day.
Legal basis: our legitimate interest in understanding, in aggregate, which pages help visitors (Art. 6(1)(f)). Kept: 1 year. You can object at any time: turn on Global Privacy Control or Do Not Track in your browser, or use the button below, and we won't load analytics at all on that browser.
Analytics cookies and session recordings (only if you accept)
If you click Accept All, PostHog sets a cookie so it can recognise your device across visits. It also records your sessions: mouse movements, clicks, scrolling and what the page showed. Everything you type into forms is hidden from the recordings. We watch these recordings to find confusing pages and broken features.
If you later send us the contact form, we link those analytics to your email address. That way we can see which pages you found useful before getting in touch.
Legal basis: your consent (Art. 6(1)(a)). You can withdraw it at any time under Cookie settings in the footer. That doesn't affect anything collected before you withdrew. Kept: recordings for 1 month, analytics events for 1 year.
Contact form and emails
When you send us the contact form or email us, we process your name, email address, optional phone number and what you tell us about your podcast and business. We use them to reply and to prepare a proposal if you want one. Legal basis: taking steps at your request before a possible contract (Art. 6(1)(b)). Kept: 24 months from when you first got in touch, unless you become a client.
Free downloads (Launch Checklist, 360 Audit)
We process your name, email address and your answer to the short question on the page. We use them to email you the PDF, add you to our list of leads, and possibly follow up with you personally about your podcast. We don't send newsletters or automated sequences.
Legal basis: sending the PDF is something you asked for (Art. 6(1)(b)). Following up is our legitimate interest in replying to people who showed interest in our work (Art. 6(1)(f)). Reply to any email and we'll stop. Kept: 24 months from when you downloaded it, unless you become a client. Our lead list deletes these automatically.
Spam protection on forms
When you submit a form, your browser solves a small maths puzzle from our own server (about a second of work) to show it isn't a spam bot. Our server checks the answer and remembers the puzzle so it can't be reused. No third party is involved, no cookies are set, and nothing about you is collected for this. If a form ever fails to send, email us instead.
Booking a call
Our booking pages embed Cal.com (on /book) and Reclaim.ai (on /meet-jullian). They process the name, email and time you choose so the meeting can be scheduled (Art. 6(1)(b)). They may set cookies that are needed for the booking widget to work. Booking details are kept like contact form enquiries.
Clients and payments
If you become a client, we keep project communication and invoices for as long as the contract runs. After that, we keep them as long as accounting and tax laws require (typically up to 10 years). Payments made through our Stripe payment links are processed by Stripe as an independent controller under Stripe's privacy policy. We never see your full card details.
Cookies and similar storage
- cookie-consent, cookie-consent-at (our site, browser storage). Remembers your banner choice. Essential, so it's always set. Kept 6 months, then we ask again.
- analytics-opt-out (our site, browser storage). Remembers that you opted out of all measurement. Essential, and set only if you use that button. Kept until you clear your browser data.
- ph_…_posthog and PostHog browser storage. Analytics ID and session recording. Only after you accept. Up to 1 year.
- Cal.com / Reclaim.ai cookies. Only on the booking pages, and needed for the booking widget to work.
No advertising, retargeting or social media cookies.
Who else handles your data
We use these service providers ("processors"). Each one processes your data on our behalf under its data processing terms, only to provide its service to us:
- Cloudflare, Inc. (USA, with servers worldwide including the EU). Website hosting and delivery.
- PostHog Inc., data stored in the EU (Frankfurt). Analytics and session recordings.
- Google (Ireland / USA). Google Workspace for our email.
- Hetzner Online GmbH (Germany). Hosts the server that runs our form spam check and routes submissions to our inbox.
- Notion Labs Inc. (USA). Where we keep track of leads and clients.
- Slack Technologies (USA). Our team chat, where we get notified about new and expiring leads.
- Cal.com Inc. and Reclaim.ai (USA). Call scheduling.
Transfers outside the EU: some of these providers are in the USA. For those transfers we rely on the EU–U.S. Data Privacy Framework (adequacy decision (EU) 2023/1795) for certified providers, and on the European Commission's Standard Contractual Clauses otherwise. Email us for a copy of the relevant safeguards.
We don't sell your data or share it with anyone for advertising. We only disclose it to authorities when the law requires it, or if PodVision is ever merged or sold, in which case we would tell you first.
Your rights
You can ask us, for free, to:
- see the personal data we hold about you and get a copy (access);
- correct it if it's wrong (rectification);
- delete it (erasure);
- limit how we use it while a question is being resolved (restriction);
- receive it in a portable format, or have it sent to someone else (portability);
- withdraw consent at any time under Cookie settings in the footer.
Email team@pod.vision and we'll answer within one month. You also have the right to complain to a data protection authority, in particular in the EU country where you live, work or think the problem happened. See the list of EU authorities. We'd appreciate the chance to fix it first.
Your right to object
Where we rely on legitimate interests (visit counting, following up after a download), you can object at any time for reasons relating to your situation. You can always object to us contacting you about our services: just reply "no thanks" or email us, and we'll stop.
Other things you should know
- Do you have to give us data? No. Browsing needs none, and analytics are optional. We need a name and email address to reply to a form or send a download. Without them, we can't.
- Automated decisions: we don't make decisions about you by automated means or profile you.
- Security: everything travels over HTTPS, only people at PodVision who need lead and client data can access it, and we choose providers with strong security practices.
- Children: our services are for businesses and are not aimed at anyone under 16.
- Other websites: links to podcasts, press and social media lead to sites with their own privacy policies.
Changes to this policy
We update this page when our tools or practices change and update the date at the top. If a change affects what you agreed to in the cookie banner, we'll ask you again.
